Medical, Allergies & Emergencies: How It Works

When your child joins, we ask for medical, allergy and emergency information. Here is exactly what we do with it, how we care for your child day to day, and what happens in an emergency. Plain and clear, so you know your child is in safe hands.

What we ask for, and why

Through the Child medical and onboarding form we collect your child’s allergies and anaphylaxis details (including any EpiPen needs), medical conditions, medications, dietary needs and emergency contacts. We ask for it so that we can care for your child well and act quickly if we ever need to.

How your child’s information is kept

Your child’s information is held securely and is seen only by the authorised leaders who need it to keep your child safe, on a need-to-know basis. This follows our Privacy Policy and Child Safety Policy. We do not share it more widely.

Medication and EpiPens, day to day

If your child carries medication, such as an EpiPen or an inhaler, please hand it to the conductor at the start of each rehearsal, along with a quick note of how and when it is used. The conductor keeps it safe and within reach during rehearsal and returns it at pick-up. This way your child’s medication is always in a known place and a trained adult can reach it fast.

Action plans

If your child has anaphylaxis or asthma, please give us a current ASCIA Action Plan, the standard plan your doctor completes. It tells us exactly what to do and when. Send it to youth@australianchristianarts.com or give it to the Home Team, and please send an updated copy whenever it changes.

First aid on site

A first-aid-trained member of our Home Team is on site at every rehearsal and concert, with a first-aid kit.

If your child has an allergic reaction or needs their medication

Where your child is able, they take their own EpiPen or inhaler themselves, and our leaders help and stay with them. If your child is not able to, our first-aid-trained leader is authorised to give your child’s own EpiPen, following your child’s action plan.

In a serious emergency

If something serious happens, one leader calls 000 straight away and stays with your child, while another leader calls you immediately (and your emergency contact if we cannot reach you). A leader meets the ambulance so help reaches your child quickly. We then record what happened and follow up with you. You will always be told promptly.

Everyday bumps and unwell days

For minor things, such as a scrape or feeling unwell, our first-aider helps and we will let you know at pick-up, or sooner if needed. If your child is unwell before rehearsal, please keep them home and let us know at youth@australianchristianarts.com.
